Faro Finance, Inc. ("Faro," "we," "us," or "our") is a Delaware corporation providing outsourced finance, accounting, bookkeeping, fractional CFO, tax services and related professional services to businesses.

This Privacy Policy explains how we collect, use, disclose, and protect information in connection with our website (the "Site") and our professional services (collectively, the "Services").

Faro does not operate a software-as-a-service platform or license software to clients. Faro delivers its Services through its personnel and selected third-party providers, primarily via email, video calls, messaging platforms, shared document repositories, and third-party accounting and finance software.

This Privacy Policy is incorporated into our Master Service Terms. By using our Site or engaging our Services, you agree to the practices described here. We treat all information covered by this Privacy Policy as pertaining to individuals acting in a business or professional capacity.

Information We Collect

1.1 Information You Provide to Us

We collect information you provide when you contact us through our Site, request information about our Services, or execute an Engagement Letter or Proposal with us. This may include your name, business name, email address, phone number, and job title.

In the course of providing Services, we also collect financial, accounting, tax, payroll, employee, vendor, customer, and other business information you share with us ("Client Information").

1.2 Information We Collect Automatically from the Site

When you visit our Site, we may automatically collect:

  • Log data, including your IP address, browser type, pages visited, and the date and time of your visit;
  • Device information, including device type and operating system; and
  • Usage data about how you interact with the Site.

We use cookies and similar tracking technologies on our Site. See Section 6 for more information.

1.3 Information Received in Connection with the Services

In providing the Services, we may receive Client Information from accounting systems, financial institutions, payroll providers, or other third-party tools that you authorize us to access on your behalf. We process that information solely to provide and support the Services.

How We Use Your Information

We use the information we collect to:

  • Provide, perform, and administer the Services under our agreements with you;
  • Communicate with you about the Services and respond to your inquiries;
  • Send administrative information, including notices about changes to our terms or policies;
  • Maintain and improve our Site and operational processes;
  • Prevent fraud and protect the security of our systems and Client Information;
  • Comply with applicable law, legal process, and regulatory requirements; and
  • Market our Services to you (see Section 7 for opt-out options).

We may aggregate or de-identify information to analyze service trends or improve our offerings. Aggregated or de-identified information is not subject to this Privacy Policy.

How We Share Your Information

We do not sell your personal information. We may share your information in the following circumstances:

3.1 Service Providers and Subprocessors

We share information with vendors, contractors, and service providers who help us deliver the Services or operate our business. This includes accounting and finance software providers, cloud storage and document management providers, AI-enabled workflow tools, communication and project management platforms, payment processors, and IT services and security providers. These providers access and process information only as necessary to perform their functions and are required to maintain appropriate confidentiality and security.

3.2 Licensed Partner Firms

For tax coordination and other specialized services, we may engage licensed CPA firms, tax preparers, or other credentialed service providers. We will share Client Information with those providers to the extent necessary to perform the applicable services. By engaging those services, you consent to such sharing, as further described in the Master Service Terms.

3.3 Business Transfers

If Faro is involved in a merger, acquisition, reorganization, or sale of assets, your information may be transferred to the successor entity as part of that transaction.

3.4 Legal Requirements

We may disclose your information if required by law, legal process, or governmental authority, or if we believe in good faith that disclosure is necessary to protect our rights, comply with a legal obligation, prevent fraud, or protect the safety of any person.

3.5 With Your Consent

We may share your information with third parties when you have given us explicit consent to do so.

Data Security

We implement commercially reasonable technical, administrative, and organizational measures to protect the information we hold from unauthorized access, disclosure, alteration, or destruction. These measures include access controls, encryption in transit, and vendor security requirements.

No security measure is perfect, and we cannot guarantee the absolute security of electronically transmitted or stored information. Email and other electronic communications are not guaranteed to be fully secure. You are responsible for safeguarding credentials or access used to share information with us.

Data Retention

We retain Client Information and other personal information for as long as reasonably necessary to provide the Services, maintain our business records, comply with legal and regulatory obligations (including tax and accounting retention requirements), resolve disputes, and enforce our agreements.

As a general guideline, we retain engagement records for a minimum of seven (7) years after the end of an engagement, unless a longer period is required by law or professional standards. When information is no longer needed, we delete or de-identify it in accordance with our internal policies.

Cookies and Website Analytics

Our Site uses cookies and similar tracking technologies to operate the Site, understand how visitors use it, and improve our online presence. We may use essential cookies (necessary for the Site to function) and analytics cookies (such as Google Analytics, to understand traffic patterns and usage).

You can control cookies through your browser settings. Disabling certain cookies may limit your use of some Site features. Our Site currently does not respond to "Do Not Track" signals.

Marketing Communications

We may contact you about services we believe may be of interest to you. You may opt out of marketing communications at any time by following the unsubscribe instructions in any marketing email or by contacting us at the address in Section 11. Even if you opt out of marketing, we may continue to send you administrative and service-related communications.

International Data Transfers

Faro is based in the United States and primarily processes Client Information in the United States. Some of our service providers and partner firms may process or store information outside the United States. By engaging our Services, you acknowledge that your information may be transferred to and processed in countries other than your own, which may have different data protection standards.

Your Rights and Choices

Depending on your location and applicable law, you may have the right to access, correct, delete, or restrict processing of personal information we hold about you, or to withdraw consent where processing is based on consent. To exercise any of these rights, please contact us at the address in Section 11. We will respond in accordance with applicable law, subject to our legal retention obligations and legitimate business needs.

Our Site is not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. If you believe we have received information from a child under 13, please contact us.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will provide notice of material changes by email to your address on file or by posting an updated version on our Site. Your continued use of our Site or Services after the effective date of any update constitutes acceptance of the revised Privacy Policy.
